3. Why we use personal information
We use personal information for the following purposes and lawful bases.
Enquiries, quotations and engineering support
We use business contact details, correspondence and relevant attachments to understand requirements, answer questions, prepare quotations and provide technical support.
For employees and representatives of organisations, we generally rely on our legitimate interests in responding to requests and conducting our business.
Where you are an individual contracting directly with us, including a sole trader, we may rely on taking steps at your request before entering into a contract or performing that contract.
Orders and customer relationships
We use relevant information to process orders, communicate about specifications, arrange delivery, administer accounts, handle warranty requests and maintain business records.
Our lawful bases are performance of a contract where we contract directly with you, our legitimate interests in managing organisational customer relationships, and compliance with applicable legal obligations.
Legal compliance and business protection
We use information where necessary to meet accounting, tax and applicable trade-compliance obligations.
We may also process information for our legitimate interests in preventing misuse, protecting our systems, investigating complaints and establishing, exercising or defending legal claims.
Marketing
We may use your name, business email address, organisation and product interests to send relevant promotional emails about RadianWorks products, services, technical developments and offers.
For contacts at limited companies and other corporate subscribers, we may rely on our legitimate interests in promoting relevant products and developing business relationships, where this use is proportionate and consistent with your reasonable expectations.
Where consent is required, including for sole traders and certain partnerships, we will obtain your consent before sending promotional emails unless an applicable legal exception permits otherwise. We do not treat submitting an enquiry or requesting a quotation as consent to marketing.
For enquiries submitted through our website forms, we will send promotional emails only if you select the optional marketing checkbox.
You can object to direct marketing or withdraw your consent at any time, free of charge, by using the unsubscribe option in our emails or contacting sales@radianworks.com. Your choice will not affect our response to your enquiry, quotation or order.
We retain a minimal record of marketing objections and withdrawals where necessary to ensure that we respect your preferences.
4. Information you need to provide
Some information is necessary for us to respond to your requirements, prepare an accurate quotation or fulfil an order. Relevant fields are identified on our forms.
If necessary information is missing, we may be unable to progress your request. Providing information or requesting a quotation does not oblige you to purchase.
You should have authority to provide personal information about colleagues or other individuals and should make this notice available to them where appropriate.
5. Who we share information with
We share relevant information only where reasonably necessary with:
- Website hosting, form-processing, file-storage and IT providers.

Providers processing personal information on our behalf must operate under appropriate contractual arrangements. Some recipients, such as professional advisers or authorities, may act as independent controllers.
We do not sell personal information.
6. International transfers
Our website is built and hosted on the Base44 platform, which processes personal information on our behalf as a processor. Personal information submitted through the website, including form submissions, uploaded attachments and the email notifications generated from them, is stored and processed by Base44 and its infrastructure providers in the United States. Other providers referred to in section 5 may also transfer personal information to, or access it from, countries outside the United Kingdom.
Where a restricted international transfer requires safeguards, we will use an appropriate mechanism under applicable UK data protection law.
In particular, transfers to Base44 are made under the terms of Base44's Data Processing Agreement with us, which provides for appropriate safeguards through one of the alternative mechanisms it lists, namely the UK International Data Transfer Agreement (IDTA), or the EU Standard Contractual Clauses together with the UK International Data Transfer Addendum, together with, where a recipient participates in the EU-US Data Privacy Framework as extended to the United Kingdom, that framework. Where a recipient benefits from a UK adequacy decision, the transfer instead relies on that decision.
Contact us using the details in section 1 for information about the safeguards applicable to your personal information and how to obtain a copy where relevant.
7. How long we retain information
We retain personal information only for as long as reasonably necessary for the purposes described in this notice.
We determine retention by considering:
- Whether an enquiry remains active or is reasonably likely to lead to an order.
- The duration of the customer or supplier relationship.
- The need to support products, warranty obligations and technical traceability.
- Applicable accounting, tax and other legal requirements.
- Relevant periods for bringing or defending legal claims.
- Security, investigation and dispute-resolution needs.
Attachments uploaded through our website forms are stored in secure private storage, not publicly accessible. Access is only by time-limited secure links included in our email notifications.
We securely delete or anonymise information when it is no longer needed. Copies held in backups are removed through the applicable backup-retention cycle and are not used for ordinary business purposes.

To exercise your rights, contact sales@radianworks.com and mark your request “Privacy”. We may request reasonable information to verify your identity.
We normally respond within one month, subject to any extension or exception permitted by law.

10. Cookies and similar technologies
We do not use advertising cookies, third-party analytics cookies or any consent-based tracking technologies, and the website does not collect analytics about your visit.
The website stores a small amount of information in your browser (using local storage rather than cookies) that is strictly necessary for it to function:
- App configuration entries (app identifier, version and the page address you were viewing), so the website loads correctly and can return you to the right page after signing in.
- A sign-in token, created only if you sign in, which keeps you signed in.
These entries contain no advertising or analytics identifiers. They remain on your device until you clear your browser data or sign out.
The typefaces used on this website are hosted by us, and the website makes no requests to third-party font services.
To remove any of the above at any time, clear your browser's site data for our website. Most browsers also offer private-browsing and cookie-management settings you can use instead.
11. Automated decision-making
The website’s cable configuration and frequency calculations support product selection and enquiries. Final technical requirements and quotations remain subject to engineering review.
12. Security
We use appropriate technical and organisational measures to protect personal information against unauthorised access, loss, misuse or disclosure.
Access is limited to people and service providers who need the information for legitimate purposes. No internet service can guarantee absolute security.
13. Changes to this notice
We may update this notice to reflect changes in our activities, service providers or legal requirements.
The current version and its date will appear on our website. Where required, we will take additional steps to bring material changes to your attention.
